HVAC technician app: clients, equipment, visits and PDF reports.

Hvacio is a mobile app for independent HVAC service technicians in Poland. It allows you to maintain a customer database, equipment log, and service visit history directly from your phone, even without internet access in the field. After a visit, you automatically generate a service report in PDF format and send it to the customer with a single click.

The app is a professional tool designed for those servicing gas boilers and equipment subject to UDT supervision, split, multi-split, and VRF air conditioning systems, air-to-water and ground-source heat pumps, heat recovery units, and mechanical ventilation. It's also useful for servicing other HVAC equipment, as the visit form allows you to customize the list of tasks to the type of equipment being serviced.

The app allows you to maintain a customer database with full contact information, address, and company identification numbers. For business customers, company data can be automatically downloaded from the REGON register of the Central Statistical Office after providing the Tax Identification Number (NIP), without manual retyping. The database can also be imported from an Excel file if you previously maintained it in a spreadsheet.

You assign each customer the appliances you service, along with their serial numbers and maintenance history. During a visit, you select the appliance, mark the work performed from a list tailored to its type, and describe the materials used. Everything is saved immediately to your phone and synchronized with the cloud upon returning to network coverage.

For each visit, you can add photos of the appliance taken directly from the app and voice notes recorded in the field. Voice notes allow you to document service details faster than typing on a screen while working in a boiler room or on a roof.

After the visit, the app generates a PDF service report containing company details, a list of work performed, materials used, and the inspection date. You email the report to the customer directly from the app. In the footer, you can add a link to a Google Maps review form, which helps build positive search engine ratings for the company.

Each service technician receives a public mini-page at hvacio.pl, which presents contact information and a list of serviced appliance types. The website has structured metadata for search engines, so customers looking for local services can find you on Google.

Push notifications remind you of upcoming inspections, so you don't lose your job because of a forgotten date.

All data is synchronized via a secure HTTPS connection. We store photos and voice recordings in our European cloud region in Frankfurt. Subscriptions are managed on the hvacio.pl website; there are no internal payments in the app.
